Job Description
Store Support & Guidance
- Provide day-to-day support to all TBCO stores on GNFR processes and queries.
- Guide stores on how to navigate and use the ERP Procurement Portal correctly.
- Assist stores in selecting vetting the correct pre-approved GNFR suppliers per category.
- Ensure stores understand and follow correct GNFR procedures, item codes, pricing, and product and services catalogues.
- Attend to urgent store escalations — such as delays, service issues, and supplier response gaps.’
- Update the Group Supplier Landscape – Preferred Supplier Base
- Educate store teams on procurement policy, compliance rules, and best practice.
Supplier Coordination
- Act as the first point of contact between stores and GNFR suppliers for operational matters.
- Set up Supplier Meetings & Attend Supplier Review meetings
- Follow up with suppliers on quotes, lead times, deliveries, and outstanding service requests.
Monitor supplier adherence to:
- Contracted pricing
- Service Level Agreements
- Delivery timelines
- Quality standards
- Capture and track supplier non-performance and escalate serious issues to the Lead GNFR Procurement Manager.
- Support the onboarding process by collecting required supplier documents and ensuring completeness.
- Issue RFQ ‘s, Follow up RFQ;s and evaluate RFQ’s for review
- Assist Payment Queries with Suppliers
- Supplier Credit applications On Boarding along with Contract Management SLA Register of Contracts
- Administrative
Compliance & Policy Enforcement
Ensure all stores follow TBCO Group Procurement rules:
- No off-ERP purchases
- Mandatory use of preferred suppliers
- Correct GNFR category usage
- Approved pricing only
- Identify and flag any non-compliant behavior or process gaps to the Lead GNFR Procurement Manager.
- Assist with internal audits by ensuring all supplier contracts, BEE certificates, and compliance documentation are current and correctly filed.
- Support the rollout of new procurement policies or updated GNFR processes.
GNFR Catalogue, Pricing & Contract Maintenance
- Keep GNFR supplier catalogues up-to-date, including item descriptions, pricing, and SKUs.
- Update price lists and ensure stores are informed of any changes.
- Track expiry dates on contracts, compliance certificates, and mandatory supplier documents.
- Upload and maintain documentation on the procurement system.
- Support new GNFR category additions, pricing reviews, and contract renewals
Reporting & Analytics
Prepare monthly GNFR reports showing:
- Key supplier issues
- Compliance performance by stores
- Top escalations and resolutions
- Catalogue updates
- Supplier performance trends (service levels, quality, pricing accuracy)
- Identify cost-saving opportunities and areas for improvement.
- Provide insight into GNFR spend patterns, risks, and inefficiencies
Job Requirements
- 1–3 years’ experience in Procurement, Buying, Supply Chain, or administrative coordination
- Exposure to GNFR categories (maintenance, cleaning, security, services, etc.) is an advantage
- Experience using ERP procurement systems (SAP, Sage, Oracle, or similar Babbage) preferred
- Certificate/Diploma in Procurement, Supply Chain, Business Administration (advantageous)
- Prior experience in a retail or multi-store environment beneficial
