  • This role is responsible for the day-to-day facilities operations of the regional office, ensuring that buildings, fleet, maintenance services, suppliers, and support teams operate efficiently, safely, and in line with company standards. The successful candidate will play a key role in coordinating maintenance, managing suppliers, overseeing fleet operations, and ensuring compliance with health and safety requirements.

Key Responsibilities

Facilities & Maintenance Management

  • Receive, log and respond to maintenance and repair requests from stores via JIRA.
  • Coordinate call-outs to external service providers.
  • Obtain quotations, seek approvals from Area Leaders, generate purchase orders, and ensure timely completion of work.
  • Close completed tasks and ensure all job cards and invoices are submitted for processing.
  • Expedite outstanding maintenance orders and jobs daily to minimise operational risk.
  • Oversee the upkeep and maintenance of the regional office facilities.
  • Manage landlord relationships and coordinate building-related maintenance and repairs.

Supplier & Cost Management

  • Source, manage and maintain a preferred supplier database.
  • Negotiate pricing agreements and ad-hoc purchases to ensure cost effectiveness.
  • Meet with suppliers to review performance and address complaints, feedback and recommendations.
  • Implement cost-saving strategies where possible.

Fleet & Transport Management

  • Ensure all company vehicles are serviced, maintained, and roadworthy.
  • Manage vehicle licensing renewals, ownership transfers, deregistration of written-off vehicles, and sales of vehicles.
  • Manage weekly fleet washing schedules and car wash services.
  • Coordinate driver delivery and collection schedules to maximise efficiency and safety.
  • Brief drivers on delivery routes, schedules, and safe driving practices.
  • Handle all duties related to company vehicles and fleet compliance.

Office Operations & Support Services

  • Purchase and allocate regional office staff welfare supplies (e.g. tea, coffee, cleaning materials).
  • Allocate cleaning materials and manage cleaners, tea ladies, and reception-related facility tasks.
  • Oversee the receptionist in administrative duties related to accounting and credit card reconciliations on SAGE.
  • Manage OHASA requirements and ensure health and safety compliance within the regional office.

Requirements

  • Grade 12 / Matric
  • Valid Driver’s Licence (Code B)
  • Minimum 5 years’ experience in a similar Facilities or Operations role

Proven experience in:

  • Facilities maintenance and supplier coordination
  • Fleet and vehicle management (licensing, servicing, service agreements)
  • Transport, logistics and delivery scheduling
  • Working with JIRA and maintenance management systems
  • Traffic fine management and compliance
  • Working knowledge of OHASA and workplace health & safety requirements
  • Experience within a retail or multi-site environment (advantageous)
