Key Responsibilities    

PRE-PRODUCTION

  • Maintain good channels of communication with both internal and external customers
  • Manage the dispatch and receipt of outwork bulk fabric Print/Embroidery strike-offs, for lab testing and/or buyer approval
  • Drive Off-Bulk fabric receipts, in order to send Off Bulk Strike-Offs as per the Sync due dates
  • Ensure that Buyer’s Strike Off Approvals on sub (Prints and/or Embroideries), are received timeously from the Merchandise Assistants for Bulk Strike-Offs
  • Initiate Transfer vs Fabric combatibility testing to mitigate any production issues
  • Off-Bulk Fabric to be marked for shrinkage by pattern department
  • Ensure that all jobs linked to a fabric order are included for strike off. There may be multiple jobs against a single fabric PO
  • Escalate if Off-Bulk fabric is not available as per Sync or if dates do not adhere to required timelines
  • Consolidate packages for bi-weekly sending of strikes to Printers and Embroiderers
  • Capture the dates sent, the expected return date and the final receipt on the outwork tracker and ensure that the captured information is accurate
  • Do regular follow-ups via email and telephone to ensure outwork suppliers maintain the required deadlines
  • Report any problems where suppliers are not able to meet required outwork leadtime and document the plan put in place in conjunction with management
  •  Receive Trims from Trims Buyer and prepare samples for testing. Correct Off-Bulk fabric must be used for test samples. Complete a Lab Requisition form and submit for testing
  • Inform Trims Buyer if the Lab Report fails. Trims Buyer to resolve with Supplier and request new samples to be re-tested
  • Passed Trim Lab Report to be scanned and loaded into Sync

TECHNICAL KNOWLEDGE

  • Check that the execution of the received off bulk strike is as per the Approved sub fabric strike
  • If there is any difference, escalate to your Line Manager who will decide with the merchandiser what to do i.e.. Reject and request new panels or proceed with a corrective action plan
  • Ensure that signed off bulk fabric strikes are obtained within 48 hours of submission to merchandiser
  • Pass fabric onto pattern department for shrinkage calculation and logging the results
  • Once approved, complete a lab requisition form, and have the panels tested. All failures must be escalated to your Line Manager, who will contact outwork supplier if necessary
  • Inform outwork supplier of any failures and re-test where necessary
  • If the BOM Issue Date is affected by any failures, it is imperative that production is advised of the failure
  • Scan and load approved Lab report into Sync and file the hardcopy in the lab cabinet. Once style has been delivered, lab report can be discarded
  • Update Sync tasks timeously
  • On receipt of MMR, Bulk strike and artwork must be passed to pattern maker for position markers to be made
  • Leadtime for position markers of 3 days from time of MMR must be adhered to

GENERAL ADMINISTRATION

  • Responsible for archiving Buyer Approved Strike-Offs and Lab Reports in an efficient and logical manner
  • Retrieving the above when required
  • Challenges the efficiency and effectiveness of systems and proposes modifications
  • Maintains a neat and efficient workstation and filing system
  • Assisting the Merchandisers in compiling/actioning new outwork briefs if and when required
  • Effectively and efficiently handles adhoc queries
  • Effectively and timeously communicates problems and non-adherence to time lines without fail

Qualifications and Experience    

  • Grade 12
  • Proficient in Excel/Word     .
  • Previous experience in a similar environment will be advantageous.
