Key Duties and Responsibilities:

Manage and maintain grant-specific documentation:

  • Develop and update a comprehensive database for all grant-related materials, including completed and in-progress proposals, funder RFIs, NOFOs, strategy documents, academic literature, and reports from key stakeholders. Prior experience in grants management is essential.

Coordinate and monitor the grant development process:

  • Lead the scheduling and organization of regular meetings with key stakeholders, including technical staff involved in the grant development process, to ensure progress is on track and deadlines are met.

Track and report on project progress:

  • Conduct ongoing monitoring of the project schedule (using Gantt charts and task lists) for multiple concurrent proposals. Identify delays or bottlenecks and communicate these to stakeholders, ensuring corrective actions are taken promptly.

Draft and consolidate administrative grant documents:

  • Assist in the drafting and consolidation of administrative sections of proposals, such as CVs, cover letters, and supporting materials. Ensure alignment with funder requirements and grant guidelines.

Assist with template development and proposal finalization:

  • Support the creation and formatting of proposal templates, consolidating documents, and performing detailed copy-editing and proofreading to maintain accuracy and consistency across grant applications.

Collaborate with internal teams:

  • Work closely with cross-functional teams to gather data, statistics, and relevant information required for grant proposals, ensuring the timely delivery of accurate and well-researched content.

Develop high-impact visual content for proposals:

  • Coordinate with the marketing team to create visually appealing graphics, diagrams, and visuals that enhance the clarity and presentation of grant proposals.

Facilitate strategic communication:

  • Maintain open communication channels with stakeholders to inform them of project progress, challenges, and changes to grant application timelines, ensuring effective collaboration throughout the grant cycle.

Minimum Qualifications, Experience and Skills Required:

  • Bachelor’s degree or above preferred.
  • Strong written and verbal communication skills, with the ability to effectively communicate complex ideas and concepts.
  • Excellent research and analytical skills, with the ability to gather and synthesize information from various sources.
  • Advanced organizational skills, with the ability to handle multiple projects and deadlines simultaneously.
  • Attention to detail and high level of accuracy in preparing grant proposals and maintaining documentation.
  • Strong interpersonal skills, with the ability to build relationships and collaborate with internal and external stakeholders.
  • Ability to work independently and as part of a team, with a proactive and problem-solving mindset.
  • Proficient in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
  • Familiarity with grant regulations, compliance requirements, and reporting procedures.
