Administrative Support:
- Assist in managing administrative tasks related to the Association.
- Organize and maintain documentation, including project files, contracts, and correspondence.
- Schedule meetings, arrange appointments, and manage calendars for key events and initiatives.
- Handle email correspondence and respond to inquiries promptly and professionally.
Capacity Building:
- Provide assistance to the Association team in managing tasks and deadlines.
- Assist in coordinating and tracking deliverables across various projects.
- Conduct research and compile reports as needed to support decision-making.
- Work closely with the Association team to solicit and monitor feedback from the Fellow community on the relevance of the overall Foundation-linked strategy.
- Collaborate with other team members as well as other Functions to ensure smooth project operations.
- Work closely with the Association team on day-to-day activities and ad-hoc duties.
- Provide support to the Association team in terms of tracking of engagement.
- Anticipating the Association’s needs and preparing against potential risks
Events and Program Planning:
- Brainstorming and implementing event concepts and themes, as well as coordinating logistical elements of the events (such as preparing event budgets and processing invoices).
- Coordinate logistics for events, including venue selection, catering, and audiovisual requirements.
- Assist in developing event timelines, agendas, and guest lists.
- Support event promotion and marketing efforts through various channels.
- Provide on-site support during events, including setup, registration, and attendee assistance. Please note that this department has a majority of events after hours or over the weekend and the intern will need to be available for these.
- Work closely with the Association Team and Fellow Exec to deliver on Association mandate.
- Support the Association Team and Fellow Exec in the design and delivery of special projects, events and initiatives across the portfolios.
- Working on solutions to increase engagement through organizational publications as well as preparing and editing organizational publications (brochures, videos, social media posts, newsletters, etc.)
Experience and Qualifications
- Identification with the Foundation’s Vision, Mission and Values.
- Relevant qualification to Business Administration
