Primary Duties and Responsibilities

Operational Support

  • Responsible for forward planning (up to 6 months) of field teams.
  • Provisionally select field teams in cooperation with direct supervisor.
  • Liaise with Project Managers with regards to Crew Lists and Personnel Documentation
  • Liaise with other internal departments (Workshop, Client Deliverables or Project Delivery) on any project resource requirements.
  • Source personnel from other Fugro entities or third-party suppliers as required for projects.
  • Maintain tracking and utilisation of personnel.
  • Ensure all personnel travel requirements and logistics are in date and in place for project travel including journey management plans. 
  • Liaise timeously and effectively with offshore personnel re crew changes, next trip, scheduling, forward planning.
  • Able to be objective: unbiased and impartial conduct with staff.
  • Strong interpersonal skills, especially with respect to verbal communication
  • To undertake any other duties as appropriate within their competence as required by the Resources & Operations Support Manager and/or Operations Coordinator from time to time.

Financial

  • Create and manage the required purchase orders for intercompany or contractor staff used, and any personal logistics needed on projects.
  • Assist where required by providing input for department or project budgeting purposes within the area of authority.

Personnel

  • Advise supervisor on any personnel resource requirements.
  • Check offshore personnel monthly work reports.
  • Keep offshore personnel utilisation sheets accurate and in date.

Administration

  • Maintain the Tracking Register for all Personnel, Travel and Compliance Documentation.
  • Assist with the ongoing maintenance of general operations support administration where necessary.
  • Create the required purchase orders for all planning requirements i.e. Training, Travel, Visas, Compliance Documentation

Specific Additional Duties

  • Collaborate regularly with peers at sister entities within the Europe/Africa region and globally to facilitate skills transfer or staff shortages as required.
  • When applicable, be available for temporary substitution of other positions in the company, locally or internationally.
  • Actively participate in adherence to and improvement of the company Management System on Quality and HSE related issues.
  • Able to be objective: unbiased and impartial conduct with staff.
  • Strong interpersonal skills, especially with respect to verbal communication.
  • Ensure Company business style is adhered to.

  • Resources and Operations Support Manager: Line Manager
  • Operations Co-ordinator: Supervisor
  • Travel Coordinator/service desk: close communication to ensure supplier performance is maintained.
  • Commercial: regular communication or input on personnel costs for projects.
  • Project Managers: regular communication to ensure field teams suit the project requirements.
  • Offshore personnel: ensure timely and appropriate communication on all planning related issues and work reports are submitted timeously.
  • Finance department: for all personnel related invoicing.

Education and Experience Requirements

  • Qualification in maritime crew planning, Project Administration, or equivalent experience.
  • Good knowledge of English language (verbal & written).
  • Adaptable to ad hoc changes in personnel planning and changes in priorities.
  • Unbiased and impartial conduct with staff.
  • Strong interpersonal skills, especially with respect to English verbal communication.
  • Conversant with Microsoft office suite software & Project.
  • Have a valid driver’s licence.
