About the Role

Supporting a high-growth US-based leadership team from South Africa requires a blend of exceptional administrative skill and proactive operational problem-solving. This role utilizes HubSpot and Microsoft 365 to manage executive calendars, client communications, and cross-functional projects across multiple time zones. By handling complex scheduling and inbox management, the assistant reduces operational risk and ensures that leadership remains focused on strategic growth and client retention.

Role Overview

  • The Account Executive Assistant provides comprehensive administrative, organizational, and operational support to the US Account Executive team. You will drive key deliverables, ensure documentation accuracy, support client service processes, and help maintain smooth internal workflows.
  • This is a critical supporting role for the performance of the Client Services division.

Key Responsibilities

  • Review and analyze client network information to identify hardware/software upgrade needs.
  • Assist with client-facing reporting, documentation, and presentation preparation.
  • Support the preparation of quotes for new hardware and software requests.
  • Track monthly deliverables for the team and individuals to ensure deadlines are met.
  • Support change-management initiatives and maintain accurate internal process documentation.
  • Update systems with client, contract, and service information.
  • Assist in drafting contracts and assisting with related documentation.
  • Follow up on service tickets to ensure timely resolution.
  • Prepare KPI reports and assist the Director of Client Services with operational reporting.

Essential Minimum Qualifications & Experience

  • Prior experience in an Outsourced IT MSP environment is essential.
  • Proven administrative experience supporting a team of 8 or more.
  • Strong proficiency with Microsoft 365 and virtual collaboration tools (Teams, Outlook, Excel, SharePoint).
  • Exceptional verbal and written communication skills in English.
  • Availability to work US East Coast hours (4 PM 12 AM / 1 AM SAST).
  • Ability to work independently with strong attention to detail, organization, and accuracy.
  • Strong planning, prioritization, and time-management abilities.
  • Solid customer service mindset and professional presence.
  • Basic financial understanding and familiarity with data handling.
  • Ability to predominantly work remotely in a hybrid model.
  • Knowledge of basic Excel formulas and data analysis.
  • Understanding of common MSP technical terminology and concepts.
