The successful candidate will be responsible for executing payroll administration, reconciliations, reporting, system controls and maintenance, payroll support, and audit processes across designated branches.

Requirements    

  • National Diploma
  • Relevant experience in applying job related concepts, techniques and processes at the required level
  • Certificates in Payroll (Advantageous)
  • Computer literacy (Advanced) 
  • Business English: Fluent

Duties and Responsibilities    

Payroll Administration  

  • Capture and administer all input on payroll system for respective branches  
  • Perform calculations according to input received. 
  • Control input by verifying dummy payslips for accuracy/making changes if necessary.
  • Print, fold and pack monthly payslips to branches.
  • Ensure Master data integrity and maintenance of payroll data / records (electronic & manual).
  • Liaise with third parties 

Reconciliations and Reporting  

  • Investigate and resolve general ledger and payroll account queries. 
  • Prepare scheduled and ad-hoc financial reports from HR systems. 
  • Reconcile payroll-related general ledger accounts promptly.
  • Serve as a liaison between Payroll/HR and Finance departments.
  • Provide accurate management information upon request.

System Control and Maintenance  

  • Create, update, and maintain payroll components and fields within HR systems. 
  • Resolve payroll-related helpdesk queries (Dimension Data). 
  • Troubleshoot and resolve system issues.
  • Maintain and update payroll and process user manuals.
  • Perform data reconciliations across systems and address discrepancies.  

Third Party Management 

  • Ensure timely receipt and accurate processing of schedules from third-party service providers. 
  • Upload provider schedules into payroll systems and verify data integrity.
  • Generate and distribute required reports to third-party providers.
  • Address and resolve employee queries in collaboration with third-party service providers.
  • Perform reconciliations between internal payroll data and third-party records to ensure alignment and compliance.

Audits  

  • Conduct audits of personnel data to ensure master data integrity.
  • Verify and provide feedback on monthly branch payroll audits.
  • Coordinate and support annual payroll audits with external auditors.
  • Ensure positive staff morale and teamwork
