Responsibilities:
- Maintains Executives’ calendars by planning and scheduling meetings, conferences, events and travel.
- Welcomes and screens visitors and clients, in person or telephonically, and answering or directing inquiries on behalf of the MD and other Senior Executive Leaders.
- Foster and maintain positive internal and external relationships, engaging with members and stakeholders at all levels of seniority in a professional and collegial manner.
- Co-ordinates Board and Executive Committee meetings and responsible for following up that minutes are actioned.
- Responsible for communicating with Board members and other stakeholders and ensures that all responses are done in a timely and professional manner.
- Compiles Board documents and circulates agendas, reports, minutes and resolutions and ensures that all deadlines are adhered to.
- Prepares reports by collecting and analysing information.
- Supports the Executives in projects, proposals and other matters, through research, consultation and coordination.
- Provides historical reference by developing and utilising filing and retrieval systems and recording meeting discussions.
- Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings and accompanies Executives when requested.
- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies.
- Managing the reception team and overseeing the canteen.
- Contributes to team effort by accomplishing related results as needed.
- Maintains and protects operations by keeping information strictly confidential.

- Relevant Diploma / Bachelor’s degree preferred
Experience:
- Minimum 10 years’ experience in a similar role, with extensive experience at top level
- Experience working in a fast-paced corporate multinational environment
- Experience exercising discretion and confidentiality with sensitive company information
- Have knowledge of administrative procedures
