  • The Front Office Executive will be responsible for providing full operational, strategic, and financial management of the front office. The successful candidate will serve as the first point of contact for visitors; clients; and employees, offering exceptional service and maintaining a professional demeanor at all times.

Duties and Responsibilities:

  • Welcome all guests in a highly professional manner as well as observe and attend to all guests without delay
  • Identify guests upon arrival and follow correct procedures
  • Ensure that all interactions with guests are conducted in a friendly, efficient and helpful manner
  • Management of the front desk, reception, meeting rooms and boardrooms
  • Detailed monitoring of cleanliness in all public areas of the office
  • Responsible for the appearance of the front office including flower arrangements
  • Perform various administrative tasks
  • Co-ordinate transportation when required
  • Managing and sorting incoming and outgoing mail
  • Ensure that all catering and meal requirements have been attended to for meetings and events
  • Ensure you are proficient in utilising the communications system and familiar with all health and safety tasks
  • Assist with company events at external locations when required
  • Maintain proper checklists related to housekeeping activities to ensure the upkeep of the facility
  • Oversee opening and closing procedures of the office
  • Manage day to day purchases of office requirements, preparing request order and getting approval, maintaining inventory of stationary, etc.
  • Fleet Management including overseeing fleet card transactions and authorising monthly fleet card reports, checking fuel slips against charges, tracking maintenance plans and license renewals for vehicle and drivers, manage vehicle tracking system, management of Driver’s shift rosters, car inspections and vehicle maintenance and care.
  • Managing and monitoring of front office staff and switchboard operators
  • Management of staff and guest accommodation
  • Assisting with various design and decor projects when required.

Requirements:

  • Matric with a National Diploma in Hospitality / Travel & Tourism
  • 3+ years experience as Front Desk Executive in a financial services company / hospitality.
  • Proficient in Microsoft Office. Ability to work in Excel, Word and Internet
  • Have a reliable means of transport
  • Excellent communication skills
  • Excellent Interpersonal Skills
  • Ability to multitask
  • Ability to work under pressure and prioritise work to deadlines.
  • Needs to have a pleasant personality, display confidence and maturity
