The HC Systems Officer will play a crucial role in supporting the HC Systems Lead by providing user support and maintaining HR systems. This position will be responsible for ensuring the smooth operation of HR technology systems, addressing user issues, and performing routine system maintenance. The ideal candidate will possess technical expertise in HR systems, strong problem-solving skills, and a customer service-oriented approach.
Minimum Requirements
- Bachelor’s degree in Human Resources, Information Technology, Business Administration, or a related field.
- 2+ years of experience in HR systems administration or HRIS support.
- Technical expertise in HR systems such SAGE300 People, Neptune Applicant Tracking System, Flowcentric, Enboarder, Time & Attendance or similar platforms.
- Proficient in data analysis and reporting tools, such as Excel.
- Strong problem-solving skills and attention to detail.
- Excellent communication and interpersonal skills.
- Customer service-oriented with a focus on user satisfaction.
- Experience with system integration and data migration projects.
- Familiarity with HR processes and practices.
Duties & Responsibilities
User Support:
- Serve as the primary point of contact for HR system users, providing prompt and effective support.
- Address and resolve user issues and enquiries related to HR systems.
- Conduct user training sessions and create instructional materials to enhance system proficiency.
System Maintenance:
- Perform routine maintenance tasks, including system updates, data backups, and security checks.
- Monitor system performance and troubleshoot any technical issues that arise.
- Ensure data integrity by conducting regular audits and cleanups.
Configuration and Customization:
- Assist in configuring and customizing HR systems to meet organizational needs.
- Collaborate with the HR Systems Lead to implement system enhancements and new features.
- Test system changes and updates to ensure proper functionality before deployment.
Data Management:
- Maintain accurate and up-to-date HR data within the systems.
- Generate and distribute standard and ad-hoc reports as requested
- Support data migration and integration projects as needed.
- Documentation and Reporting
- Document system processes, configurations, and changes for future reference.
- Develop and maintain user guides, FAQs, and other support materials.
- Provide regular status reports on system performance, user support activities, and maintenance tasks.
Compliance and Security:
- Ensure HR systems comply with data privacy laws and organizational policies.
- Implement and maintain security protocols to protect sensitive HR data.
- Assist in preparing for and responding to audits and compliance reviews.
