Job Description
- Responsible for providing administrative support to the SHEQ Department by supporting all Internal Training-related admin processes such as ensuring the timeous execution of admin functions such as capturing, data quality maintenance and accurate systems updates.
Minimum Requirements
- Grade 12 or NQF Level 4 equivalent.
- Diploma in Office Administration/ Business Administration.
- 3 Years’ experience in similar role.
- Some Food Safety Management Systems experience will be an advantage.
- Some experience within the Poultry Abattoir environment will be an advantage.
- Must be fully computer literate with experience in Microsoft 365 tools (Excel, PPT) on Advanced level, as well as collaboration tools (SharePoint, OneDrive, Teams).
- Good typing/ keyboard skills and proficiency in using MS Package.
- Will be required to work overtime where necessary, including on weekends.
Duties and Responsibilities
- Monitoring training and resource requests and work with Internal Trainers to allocate and prioritize them.
- Liaising with delegates for internal and external courses to ensure they attend and/or where necessary re-schedule/ move training dates.
- Typing, amending, photocopying, laminating and binding training materials needed for courses.
- Index and file videos, books and third part training materials building a training library of resources.
- Liaise with third party training providers to book courses.
- Collate and report statistics on training activity i.e., training requested, training delivered and scheduled training.
- Prepare training rooms in advance of all training courses, ensuring the are tidy and well-presented and that they have the correct furniture and equipment (flipcharts, paper, pens, PC’s).
- Populate and maintain company training/skills records.
- Update and Maintain the Training and Evaluation Database.
- File training programs/ group attendance registers after uploading on the Database.
- Give feedback to the Training Officer regarding outstanding refreshers and evaluations.
- Assist with arranging for re-training where necessary, to improve performance.
- Ensure all relevant information and documentation related to evaluations and refreshers conducted in the Plant are received and captured on the internal database.
- Assist Internal Trainers with the printing of evaluation and refreshers documentation.
- Ensure all training manuals, attendance registers, as well as all relevant training documentation are printed / bound prior to training.
- Liaise with the Procurement Dept regarding the replenishment of training material/ stock.
- Maintain and manage all stock levels related to stationery and refreshments.
- Maintain Stationary cabinet and report on stock levels on a monthly basis.
- Capture all related information on the company system as required by policy.
- Understand all company systems available for use as part of the internal Training Dept.
- Responsible for effective utilization, accurate capturing, and thorough record keeping on all systems relevant to perform daily tasks within department.
- Any other duties as may be required by management.
