Duties and Responsibilities
Co-Packer Relationship and Contract Management
- Ensure co-packers meet Clover’s production standards and contractual obligations.
- Align production capacity with demand forecasts through regular coordination with planners.
- Maintain strong, transparent communication with co-packers to address operational issues, delays, and changes.
- Facilitate project management for new product launches, including planning meetings and process alignment.
- Monitor and enforce compliance with contract terms, including quality, safety, and efficiency standards.
Co Packer Administration
- Process and reconcile stock invoices and purchase orders accurately and on time
- Manage vendor access, including updates to banking details, payment terms and contact information
- Ensure monthly financial statements are complete and accurate, follow up outstanding invoices
- Handle claims for rejected products damages, and overuse of materials, ensuring proper documentation and credit processing
- Communicate changes in co-packing fees and transfer prices before system cut-off dates
Operational Co-Ordination
- Monitor raw and packaging material stock levels at co-packer sites to prevent shortages and overages
- Track monthly stock counts and investigate usage variances
- Manage redundant written-off stock, including disposal or resale through approved channels
- Coordinate interim packaging solutions during supply delays and ensure cost recovery where applicable
Reporting and Analysis
- Prepare and maintain monthly and year-to-date reports comparing actual volumes, forecasts, and budgets
- Track Copacking costs per kilogram and reconcile with actual production volumes
- Alert finance to provisions and invoice timing to ensure accurate financial reporting
