Responsibilities

Purpose and main tasks:

  • Ensure the accurate and timely movement of ocean freight to – and from specific locations within the service standards agreed with the Customer and as per instructions provided by the Country Customer Management.
  • Handle all Vendor facing communication and shipment related internal communication between DB Schenker stakeholders.

Accountable.

  • Provide routing instruction to Origins based on the Shipping Instructions received from Country Customer Management.
  • Capture Customer Booking in TANGO and assign to Origin office (if applicable).
  • Activate and/or create Consol House, B2B and Handover shipment in TMS (TANGO).
  • Verify data entry quality and request corrections from Origin (if applicable).
  • Track cargo from POL via transshipment port until arrival in South Africa POD.
  • For B2B LCL monitor transshipment and update ETA and transshipment details (if applicable).
  • For B2B and handover LCL update shipment arrival information in TMS (TANGO).
  • For B2B and Handover LCL enter Warehouse Partner on CRR Leg.
  • For B2B LCL receive Co-Loader’s Arrival Notice.
  • 1Request cargo release information, documents, and freight invoice from Co-Loader – as applicable.
  • Ensure that Original MBL is surrendered to Co-Loader at origin or destination – as applicable.
  • Check actual shipment arrival date with Co-Loader and confirm in TMS (TANGO) – as applicable.
  • Create exceptional and accessorial income reserves and cost accruals in TMS (TANGO).
  • Check shipment arrival at CFS (Container Freight Station) and confirm in TMS (TANGO) – RIW.
  • Manage and resolve invoicing disputes with vendors.
  • Request update from/with MDM Team (Master Data Management) as applicable.
  • Send ‘Shipping Advice’ and ‘Arrival Notice’ to Consignee (Sender shown as “Customer Management”).
  • Provide “Change Advice” to Consignee – as applicable.
  • Provide self-pickup instructions to Consignee – as applicable (Sender shown as “Customer Management”).
  • Confirm self-pickup details in TMS (TANGO) – as applicable.
  • Determine optimal vendor, routing, and price for LCL trucking based on Country Customer Management recommendation or          as per agreed vendor matrix.
  • Provide delivery instructions to trucking vendors.
  • Send delivery details to Consignee – as applicable (Sender shown as “Customer Management”).
  • Confirm delivery and complete Capture POD in TMS (TANGO).
  • Continuously monitor shipment pickup status at CFS (Container Freight Station).
  • Continuously provide storage details to Customer Management.
  • Prepare outgoing invoice and inform Country Customer Management to proceed with on-time invoicing.
  • Cross-check all cost accruals in TMS (TANGO) and ensure all applicable charges are included on the invoice.
  • Ensure that all accrued costs have corresponding revenues in TMS (TANGO).
  • Ensure each file Profit + Loss statement shows a profit and escalate “Loss” file information to Country Customer Management Team – as applicable.
  • Escalate invoicing discrepancies to Country Customer Management.
  • Timely and accurate completion of activities in TANGO.
  • Ensure compliance with Customer specific KPI’s – as applicable.
  • Receive and/or upload relevant Vendor documents to TANGO (ODM).

  • Act in a manner which increases Customer satisfaction and loyalty, maximizes shipment profitability and decreases operating expenses.
  • Promote a paperless, digital office environment utilizing all modern communication methods and electronic tools provided by DB Schenker.
  • Support a positive, attractive working atmosphere and office environment.

  • All general management guidelines, processes and developments of importance to the operational execution of ocean freight products.
  • All Ocean Freight related guidelines, processes and developments of importance to the operational execution of ocean freight products.
  • All KAM/Sales related guidelines, processes and developments of importance to the operational execution of ocean freight products.
  • All IT related guidelines, processes and developments of importance to the operational execution of ocean freight products.
