Minimum Requirements
Education:
- Tertiary qualification in Paralegal Studies, Law (LLB/Bachelor of Laws), or a related field.
Experience:
- Minimum of 5 years’ experience in a legal or similar environment, preferably as a senior paralegal, legal administrator, or legal officer
- Experience with legal collections, litigation, and case management.
- Familiarity with compliance, corporate governance, and secretarial processes advantageous.
- Knowledge of case and court file management.
- Knowledge of or experience in legal collections and litigation processes.
Duties & Responsibilities
Legal and Administrative Support
- Prepare, proofread, and revise various legal and policy documents, management reports, advisory notes, marketing materials, and correspondence.
- Maintain meticulous record keeping, both electronic and hard copy, ensuring document control and traceability.
- Create and manage document templates, reference tools, and databases for efficient information retrieval and document tracking.
- Obtain and compile relevant information from external organizations, government agencies, and service providers.
- Support the in-house counsel with introductory legal research and drafting of preliminary opinions or summaries.
- Assist with company compliance, corporate governance, and secretarial activities as instructed.
- Ensure timely, accurate, and professional responses to case-related queries and internal requests.
Stakeholder Management
- Communicate effectively and professionally with clients, external legal advisors, and internal stakeholders to ensure clarity, compliance, and timely delivery of outputs.
- Adhere to client style guides, processes, and return work standards.
- Identify and suggest improvements in administrative and legal support processes to enhance client service delivery.
Compliance and Reporting
- Assist in monitoring compliance activities, ensuring legal, regulatory, and policy obligations are met.
- Support the maintenance of company registers, contracts, and other legal documentation.
- Prepare periodic reports on departmental activities, contract status, and legal matters.
- Contribute to audits and inspections where legal documentation or evidence is required.
Research and Analysis
- Conduct high-level legal research on company, labour, copyright, and related laws as required.
- Provide reliable introductory interpretations of legal documents and legislative frameworks.
- Analyse and summarize legal data, case law, and precedents for internal use.
Key Performance Areas (KPAs)
- Efficient administration of all legal, compliance, and company secretarial documentation.
- Accurate and timely preparation, filing, and retrieval of documents.
- Effective management and reporting of legal and compliance matters.
- High-quality client service and professional stakeholder communication.
- Contribution to continuous improvement of departmental systems and processes.
