  • As a Payroll Specialist you’ll be supporting the Payroll Manager in managing the Team in the delivery of the payroll, and reconciling all payroll related payments, as well as providing support to HR on all payroll related queries.
  • This will help us excel in delivering timeously to the senior management and shareholders of the organisation, to assist with their decision-making processes in driving the business enabling us to stay ahead of the game.

What you’ll be doing

  • As part of your role, your responsibilities will include:

Payroll Review

  • Manage and oversee the end-to-end payroll processing for employees, ensuring accurate calculations of salaries, bonuses, deductions, and other compensations using Payspace and Workday.

Compliance & Reporting

  • Ensure compliance with payroll legislation, tax laws and other statutory obligations.
  • Review and submit the completion of the following reports for salary sign off: summary of payroll changes; variance reports; overtime payments; loan payments and balances; and bonus payments.

Payroll Reconciliations

  • Process salary journals from Payspace into ERP. Perform the following reconciliations monthly: salary creditors to general ledger; salary control account (payroll to bank statements); IRP5 reconciliations; employee loans to general ledger and ensure compliance to loan agreements and company loan policy.
  • Performs quarterly payroll control account reconciliations in preparation for external audits.

Payroll Queries

  • Act as the first point of contact for payroll-related queries from employees and management, providing prompt and professional resolutions.

Tax Filing

  • Ensure accurate tax filing and payment for employees in accordance with the relevant country tax laws.

Payroll Audits & Internal Controls

  • Assist with internal audits and payroll compliance checks.
  • Collaborate with external auditors during payroll audits to ensure compliance with company policies and regulations.

Process Improvement

  • Recommend and implement continuous improvements to payroll systems, processes, and policies to enhance efficiency and accuracy.

Team Leadership

  • Manage and mentor the payroll team, ensuring effective workflow and meeting of deadlines.
  • Provide guidance and support to team members regarding payroll questions and issues. Train, develop and grow the payroll team’s knowledge and skills.
  • Liaison with HR and Finance Teams
  • Collaborate with HR on employee-related payroll matters such as new hires, terminations, salary adjustments, and benefits.
  • Work closely with the finance department to ensure payroll costs are accurately allocated.

Essential skills you’ll bring to the table

The necessary skills that we require for this role include:

  • Fully functional knowledge and experience on Payspace
  • Having a deep understanding and proficiency in utilizing the Workday platform, which enables the seamless execution of HR and finance processes, would be advantageous
  • Strong verbal and written communication skills, with the ability to convey complex ideas clearly and effectively
  • Experience working collaboratively in cross-functional teams, with a focus on achieving shared goals
  • Expertise in managing multiple deadlines, with a track record of delivering on time and within scope
  • Exceptional attention to detail, ensuring high standards of quality in all outputs
  • Ability to adapt quickly to changing environments and priorities, maintaining effectiveness in dynamic situations
  • Strong analytical and problem-solving abilities to identify and resolve payroll issues and discrepancies
  • Relevant payroll qualification or Bachelor’s degree and/or membership of SAPA (South African Payroll Association)
  • Strong knowledge and understanding of tax regulations and other statutory requirements
  • Knowledge of remuneration practices, compliance, and optimal salary structuring
  • Minimum of 5 years of hands-on payroll experience with at least 2 years in a senior or supervisory role
  • Proficient in Advanced Microsoft Excel

Desirable skills you’ve got up your sleeve

It would be great if you also have some of the following skills:

  • Experience in Microsoft Dynamics NAV/Business Central
  • Experience in processing Payroll in foreign currencies
  • Experience in providing training or guidance to junior payroll team members
