  • The ideal candidate for this role will be responsible for maintaining employee records during the full employee life cycle from entry to exit. The individual will act as the first point of contact for HR related queries. The People Administrator ensures that data integrity of employee records is maintained on the HR system and ensure compliance to the POPI Act with regards to personal information. Duties will span between general administration as well as support of talent acquisition functions. Our ideal candidate has experience with HR procedures and can juggle various administrative tasks in a timely manner.

More about the role:

  • Prepare New Starter documentation for submission to Payroll Department.
  • Obtain new starter documentation and upload all documentation onto the HR System and ensure that they are complete as per the engagement checklist.
  • Engage with all relevant departments i.e., ICT, Facilities, line on access, assets, workstation requirements for new starters.
  • Prepare contracts where required.
  • Ensure that all welcome packs are ready and prepared for business orientation.
  • Provide admin support to employees with day-to-day queries not obtainable via ESS.
  • Organize and maintain employee records by updating employee files and personal information on internal databases.
  • Manage data integrity of all employee records and compliance to the POPI Act and ensure archiving of records.
  • Manage uploading of records to the system.
  • Manage the exit process of terminations and provide terminated employees with relevant documentation.
  • Work closely with payroll with regards to employee information to ensure accurate salary payments
  • Ensure job titles and grading of employees are aligned to signed off department structures
  • Conduct regular Data Integrity audits
  • Assist with the administration of IR related matters
  • Draw up notice of hearing letters and compile the DE Pack as required
  • Assist the Talent Acquisition Specialist with administrative components of the recruitment process e.g. scheduling interviews and assessments
  • Timeously conduct and process verification checks when required as per our policy and procedures
  • Contribute to communication efforts around learning and development opportunities.
  • Ensure that all employee training is captured monthly.
  • Administration support to implement the skills development plan.
  • Administration support to implement, track and report on training interventions
  • Administration support for leadership development initiatives
  • Assist with WSP and ATR administration when required.
  • Assist in the generation and validation of reports, ensuring accuracy and completeness.
  • Contribute to the preparation of reports for management and report on HR metrics such as staff turnover etc.
  • Draw monthly reports such as Headcount reports, leave etc.
  • Stay updated on industry trends and best practices.
  • Manage the administration for our internal applications and employee referral scheme
  • Assist with internal communication related to policies, initiatives, practices, and events.
  • Serve as a point of contact for employee and stakeholder inquiries
  • Manage general administrative tasks in collaboration with the Senior People Business Partner to ensure the smooth functioning of People administration.
  • Collaborate with payroll to communicate changes in payroll processes or timelines to employees.
  • Assist the wider People team with additional ad hoc projects and administration.

More about you: 

Experience & Skills:

  • Grade 12 essential.
  • Diploma or Degree in Human Resources or a related discipline.
  • A minimum of 2 years’ experience in a similar role.
  • Experience in SAGE 300 advantageous.
  • Good computer literacy skills with a proficiency in MS Office (Word, Excel, PowerPoint, Outlook etc.).
  • Knowledge of relevant legislation, including the Employment Equity Act (EEA), Basic Conditions of Employment Act (BCEA), and Labour Relations Act (LRA).
  • Basic understanding and knowledge of the employee Value Chain, principles, policies, and practices.
