About the Role

This high-RPM logistics role manages pharmaceutical inventory data and ensures 100% compliance with supply chain and safety standards. Utilizing SAP for stock orchestration and ServiceNow for workflow tracking, the co-ordinator minimizes operational risk in resource availability. Their role leverages data-driven inventory insights to optimize stock levels and ensure the commercial efficiency of the hospital’s pharmacy department.

KEY WORK OUTPUT AND ACCOUNTABILITIES
CONSISTENCY OF CARE 
Stock control management

  • Collaborate with the Pharmacists to ensure that clinical stock policies and guidelines are followed and adhered to as per the Good Pharmacy Practice.
  • Eliminate slow and excess stock by constant communication with doctors, nursing staff and pharmacy teams.
  • Review and control consumable costs throughout the hospital.
  • Collaborate with the Billings Manager to manage the discharge and not yet billed (DNYB) requirements on invoices. 
  • Conduct training on stock management modules within the hospital.
  • Manage stock Key performance indicators (KPI’s), which includes but is not limited to:
  • Order frequency
  • Losses-pharmacy, theatre and ward
  • Stock days and
  • Quality of stock
  • Green procurement
  • Consignment stock.
  • Actively addresses stock challenges that affect the team and department including the implementation of theft prevention measures.
  • Stock take
  • Coordinate, execute and manage all Netcare Rotational and full stock counts
  • Manage entire stock take process as and when delegated by the Pharmacy Manager
  • Continuous improvement
  • Identify opportunities to simplify, improve or redesign stock procedures and submit reports with recommendations in this regard to management.
  • Assume accountability for pharmacy improvement projects in collaboration with the Pharmacy manager. 
  • System maintenance
  • Ensure that stock information on the system is updated and maintained regularly, this includes maintaining the integrity of the data on the SAP system.
  • Risk, compliance and reporting
  • Adhere to pharmacy standard operating procedures to ensure compliant, improved controls and sound processes. 
  • Ensure full compliance to statutory regulations, policies, procedures, best practice, professional standards as well as the Netcare strategy.
  • Manage the communication of stock policies internally and to external stakeholders.
  • Assist the Pharmacy Manager with the management and audit compliance of the Netcare stock system policies and procedures. This includes all retail, ethical, surgical and third party stock.
  • Monitor and manage the procurement standardisation policy and communicate this to doctors and nursing staff.
  • Ensure correct CSA requirements are implemented as per company protocol.
  • Analyse all key performance indicator (KPI) reports and track changes
  • Ensure that the stock management extra care program tasks is adhered to and signed off 
  • Administration management
  • Assume responsibility for all daily and monthly administration duties including but not limited to:
  • -Stock management reports
  • -Leave rosters for the stock employees
  • -Kronos for all stock employees
  • -Hands-on administration for stock employees.
  • Manage the cost per event (CPE) impact per patient.
  • Conduct and capture the employee performance development meeting information (EPD’s) for Stock Controllers, Stock Clerks and Stock Learners.
  • Manage all aspects of green procurement throughout the hospital.
  • Assist with any ad hoc duties assigned by the Pharmacy Manager.
  • Ensure that general office administration is attended to, to ensure job efficiency including but not limited to filing, printing, faxing and other general administration queries. 
  • Handle all routine administration queries and work requests that may not be included in this role profile and resolves these efficiently and effectively within the required turnaround times.
  • Monthly shift rosters for the stock employees
  • Netcare formulary management, implementation and rollout
  • Management of CKS Error Log
  • Coordination, implementation, rollout and maintenance of BOM’s
  • Ensure Mobit and Mobil errors are resolved timeously
  • Managing Open Purchase Orders report
  • Management of stock in the various storage locations
  • Management of back orders
  • Stock coordinator to take on theatre stock controller duties in the absence of a theatre stock controller
  • Stock Coordinator to manage stock control functions in the Theatre
  • Stock Coordinator to manage stock control functions in the Pharmacy
  • Perform Hospital Stores duties as and when required
  • Perform internal Orderwise, OrderCo and stores orders and requisitions
  • Manage stock days in all storage locations
  • Assist with formulary and standardisations

SKILLS PROFILE

EDUCATION

Essential 

  • Grade 12 or equivalent NQF 4 certificate.
  • Basic stores and stock control certificate (BSSC).
  • Principles of production and inventory management (PPIM).

Preferred

  • Qualification in Logistics at an NQF level 5. 
  • SAP Knowledge advantageous

WORK EXPERIENCE
Essential

  • Previous experience in stock management. 

KNOWLEDGE
Preferred

  • An intermediate to advanced level of Computer Literacy and proficiency in MS Office applications.
  • Ability to work as a member of the team, to not function independently bur to form synergistic partnerships with other divisions.
  • Superior interpersonal skills (developing and maintaining positive relationships; communicating clearly and effectively with people at all levels with verbal and nonverbal communication; working with others to identify, define and solve problems).
  • Demonstrates excellent organisational skills: organised and structured.
  • Multi-tasking ability and the ability to handle stressful situations and difficult stakeholders (internal and external) appropriately.
  • Demonstrates genuine care and concern for the person, demonstrating empathy and an ability to understand the situation from a person centred Health and care perspective.
  • Previous supervisory skills is advantageous
  • Previous stock controller experience is advantageous
  • Knowledge and working experience of the pharmaceutical stock control system.
