Responsibilities

  • Manage documentation related to training, including learner documentation, learner enrolment forms, claim forms, and attendance registers, maintaining the integrity of data and checking data for correctness and completeness.
  • Transpose training data into reporting formats.
  • Schedule and coordinate training sessions and venues with sites and training providers according to the learning programme implementation plan.
  • Create documentation templates for SETA administration and reporting.
  • Create Schoox attendance registers for accredited learning programmes.
  • Create Purchase Requests, Purchase Orders, follow up on payments and update the payment tracker for all Talent Management initiatives.
  • Support in tracking training spend versus budget.
  • Ensure that signed claim forms, and requests for data from the SETA are attended to timeously.
  • Manage RFP processes for vendors for skills development initiatives.
  • Ensure that invoices are completed in line with SLA requirements before submitting for payment.
  • Gather training feedback through surveys and feedback forms for training and create comprehensive reports on training effectiveness and progress.
  • Liaise with site HR’s regarding learners at risk for learning programmes.
  • Processing of learner terminations with the SETA.
  • Assist with workplace approval visits, SETA site visits and other compliance related information.
  • Ensure that the Schoox reporting data, payment tracker and capability plans are updated to reflect current progress of implementation.
  • Provide documentation for SETA and BBBEE audits as requested.
  • Assist with administration and coordination of graduations (logistics and procurement)

Qualifications

  • 3 year HR Degree (ODETP or OC: Training and development practitioner is advantageous)
  • 2-3 years’ experience within a L&D team working on skills development initiatives in FMCG
  • The ability to handle financial administration for training
  • Strong provider and stakeholder liaison abilities
  • Attention to detail particularly in the area of record-keeping
  • Site and vendor support as a point of contact for enquiries
  • Organisation and time management – ability to manage multiple tasks, deadlines and logistical arrangements
  • Communication – strong written and verbal communication skills for interacting with various stakeholders
  • Compliance – Understanding of relevant training regulations, industry standards and SETA requirements
  • Computer skills – Strong skills in Excel, PowerPoint, Outlook and Teams
  • Administration – Ability to handle administrative tasks, including maintaining records, processing paperwork, and managing documentation for audits
  • Strong delivery bias – ability to deliver high quality outputs
