Key Duties and Responsibilities

Invoicing for all Rights Holders & Freelancers

  • Managing and processing of all invoices
  • Managing and converting currencies for foreign invoices
  • Managing and assisting with processing of all other invoices
  • Tracking and recordkeeping of all processed invoices
  • Resolving all budget related issues for invoice processing
  • Resolving all queries from freelancers with regards to the invoice process
  • Liaising with Finance on processes and management of invoices
  • Assisting and resolving queries from the publishers with regards to invoice issues

Manage all courier requirements

  • Packaging of goods and gathering of dimensions information
  • Making bookings for both local and cross border shipments
  • Managing collections and deliveries
  • Tracking of shipments
  • Progress updates to customers
  • Handling of queries from customers
  • Creating commercial invoices for cross border shipments
  • Completing of customs clearance documents and customs instructions
  • Creating waybills for each shipment
  • Keeping record of all shipments
  • Meet all courier deadlines, especially during submissions and tenders
  • Liaising with RTT’s key account manager on a weekly basis

Manage all Freelance agreements and Flat fee agreements

  • Responsible for getting all relevant documentation together for the freelancers
  • Assisting with documentation for flat fee agreements
  • Communicating with the freelancers to inform what is needed to complete the contracts
  • Managing the delivery of the documents to and from the freelancer
  • Checking that all details are filled in and that all the information is correct
  • Liaising with Procurement to load the freelancer as a new vendor
  • Tracking and record keeping of all documents
  • Handling of queries from the freelancers and publishers during this process

Assisting the Production team

  • Support the Production Manager with various duties as assigned
  • Assist the Production team with general production tasks
  • Assist with content requests
  • Assist with work order requests
  • Assist with general queries
  • Liaising and engaging with typesetters

Educational Requirements

  • 1 – 3 years of administrative and/or publishing experience

Experience Requirements

  • Excellent communication skills both written and verbal
  • Proficient in Word, Excel, Outlook and PowerPoint
