- The Project Coordinator will provide essential administrative support to the Projects Department, ensuring smooth coordination and execution of activities. This role is responsible for organizing project documentation, tracking progress, and assisting project engineers to keep all elements aligned. The primary objective is to maintain structure and efficiency across multiple projects, enabling timely delivery within defined scope, budget, and quality standards.
Responsibilities
Project Documentation & Compliance
- Ensure all project documentation is accurate, complete, and up to date.
- Draft and maintain department manuals and procedures.
- Maintain records in line with company standards and regulatory requirements.
Project Planning & Scoping
- Determine and define project scope, objectives, and deliverables.
- Predict resources required to achieve objectives and allocate them effectively.
- Prepare detailed budgets based on scope and resource requirements.
Scheduling & Resource Coordination
- Develop and manage detailed project schedules and work plans.
- Efficiently plan and schedule technical resources.
- Monitor resource utilization to ensure efficiency.
Financial Management
- Track project costs to ensure adherence to budget.
- Report on financial performance and variances.
Stakeholder Communication
- Provide consistent project updates to stakeholders on strategy, adjustments, and progress.
- Communicate deliverables and expectations to vendors and suppliers.
Vendor & Contract Management
- Manage contracts with vendors and suppliers.
- Assign tasks and monitor deliverables to ensure compliance with agreements.
Project Execution & Monitoring
- Lead project delivery from scoping to completion (administrative and coordination aspects).
- Utilize industry best practices, techniques, and standards throughout execution.
- Monitor progress and adjust plans where necessary.
- Measure project performance and identify areas for improvement.
Engineering Support
- Assist the Senior Project Engineer with project engineering-related activities.
Health and Safety
- Participate in safety forums and attend relevant training/programmes
- Report all safety incidents to the relevant people
- Comply with safety policies and procedures
- Wear protective clothing (where applicable) at all times
Requirements
- Qualification in Project Management, Business Administration, or a related field
- Certification in project management methodologies advantageous
- 3–5 years’ experience in project administration or coordination, preferably in a manufacturing or engineering environment
- Proven experience in document control, scheduling, and budget tracking.
- Good understanding of construction and erection work and with the ability to oversee contractors
- Exposure to multi-disciplinary projects involving engineering teams.
- Understanding of project life cycle, scheduling, budgeting, and resource planning.
- Basic knowledge of production workflows and engineering principles.
- Software Tools – Proficiency in MS Office Suite, project management tools
Knowledge, Skills and Attributes
- Ability to manage multiple tasks, prioritize effectively, and maintain accurate records.
- Strong written and verbal communication for stakeholder updates and vendor coordination.
- Planning & Scheduling – Creating and maintaining project timelines and resource plans.
