KEY RESPONSIBILITIES include the following. Other duties may be assigned.

  • Operates the switchboard to answer, screen, and direct calls, and takes messages as required.
  • Directs call to the required person, or decides on the most appropriate person for responding to specific questions.
  • Provides information about the establishment such as location of departments, offices or employees within the organisation, or services provided.
  • Receives and directs all visitors to the correct locations.
  • Other duties may also be assigned.

Process Management

  • Processes client requests received telephonically, e-mailed or faxed.
  • Escalates queries to Relationship Manager or sales and service team.
  • Provides feedback to clients on status of requests.
  • Escalates clients’ requests for permanent withdrawal to the Relationship Manager.
  • Processes collection requests for new and returned boxes and files on the system.
  • Liaises with clients for confirmation of collection and packing dates.
  • Processes orders for media items as per client requests. 

MINIMUM QUALIFICATIONS, EXPERIENCE and KNOWLEDGE:  

The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Grade 12. Diploma or Certificate in Office Administration / Customer Service / Business Administration / Call Centre or Secretarial. Bachelor’s Degree preferred.
  • Minimum 2-3 years reception and switchboard experience.
  • Must be well groomed, presentable and well spoken.
  • Exceptional customer service skills and professional phone manner to clients and employees
  • Overachieving attitude and enhanced work ethic.
  • Extremely capable of keeping reception area clean and organised.
  • Must be computer literate in Microsoft Office applications
  • Must have excellent English written and communication skills.
  • Must be able to multitask.
  • Must be able to prioritise multiple tasks.
  • Must have excellent organisational skills.
  • Must have excellent interpersonal skills.
  • Must be able to take initiative and problem solving abilities.
  • Must be accurate and have attention to detail.
  • Must be dependable.
