Responsibilities:
- Promptly respond to inquiries from all lead-generating platforms.
- Match clients with suitable vehicles for their travel plans and destinations.
- Provide detailed information on vehicle equipment, travel restrictions, and route planning.
- Follow up on inquiries to maintain a minimum 30% conversion rate.
- Accurately process reservations, ensuring information matches quotations and Tourplan data.
- Handle special requests and additional product needs, including cross-border vehicle applications.
- Create precise travel documentation, including vouchers and confirmation emails.
- Assist clients with payment issues and offer alternative payment methods.
- Advise clients on supplier operating hours to avoid conflicts with travel schedules.
- Communicate cancellation and no-show policies with quotes and confirmations.
- Process cancellations and refunds promptly.
- Offer ongoing concierge service from booking through to the client’s return.
- Provide expert advice and guidance as needed.
- Maintain the inquiry management dashboard for accurate reporting.
- Prioritise and resolve complaints efficiently.
- Participate in weekend and after-hours duties as scheduled.
- Assist with the emergency phone as needed.
- Support with additional tasks as required.
Qualifications & Job Requirements:
- Matric certificate
- Tertiary qualification in travel/tourism is a plus
- 3-5 years of customer service experience, including sales (face-to-face or telesales)
- Experience in 4×4 and camper van rentals is advantageous
- Strong knowledge of African self-drive destinations
- Computer literate (MS Office / Google Workplace)
- Knowledge of the Tourplan system is a plus
- Must have a driver’s license and own transport
- Excellent written and verbal communication skills
- Strong time management and problem-solving skills
- Excellent administrative and organisational skills
- Strong sales and customer service drive
- Highly adaptable to a fast-paced, dynamic environment
