Key Performance Areas

Sales Administration

  • Supporting the sales team with administrative tasks, such as scheduling appointments, following up on leads, and preparing sales materials;
  • Maintaining accurate and up-to-date records of sales activities, such as customer interactions and sales orders;
  • Maintain good customer and supplier relationship;
  • Record and issue delivery note books;
  • Declare all suppliers invoices to the relevant Department;
  • Report any faulty office equipment;
  • Control recycling of plastic and paper sales responsible for ensuring that the recycled material is disposed according and ensuring that is collected.;
  • Assisting with preparation and analysis of sales reports and forecasts;
  • Coordinating with other departments, such as marketing and customer services, to ensure effective communication and collaboration;
  •  Order supplies for commercial department and surface fluorination plant from YM store (including cleaning material, stationery, PPE, toner, cartridges);
  • Request quotes from external suppliers, process on workflow according to PFMA requirements;
  • Conduct monthly stock count of all packaging on surface fluorination.

Receptionist duties

  • Welcoming visitors and directing them to the appropriate person or department;
  • Answering and directing phone calls and emails to the appropriate person or department;
  • Maintaining a tidy and organised front desk area;
  • Assisting with basic administrative tasks, such as scheduling appointments, preparing meeting rooms, and handling incoming and outgoing mail and packages;
  • Coordinate gate access for customer’s drivers and all other Pelchem visitors timeously, via phone/email;
  • Ensuring that visitors and employees adhere to security and safety protocols, such as signing in and out and wearing identification badges;
  • Escorting of visitors that have access to site.
  • Facilitate use of pool vehicle according to procedure;
  • Ensure pool vehicle has fuel;
  • Report any faults, accidents on vehicle on daily basis;
  • Book vehicle for service when due;and
  • Conduct monthly vehicle inspection.

JOB REQUIREMENTS

  • A valid drivers License
  • Intermediate computer literacy in MS Office
  • The ability to manage time effectively and efficiently in accordance with the work priorities.

Requirements

MINIMUM QUALIFICATIONS AND EXPERIENCE:

  • Grade 12 certificate.
  • Certificate in Business Administration will be an added advantage.
  • Minimum of 2-year experience in an administrative position.
