Job Description
- Responsible for the support function of QHSSE at GFC by performing administrative duties related to planning, directing and coordinating activities and process to ensure conformity with agreed requirement. Perform admin-related tasks within the framework of the QHSSE Management System in line with Standard Operating Procedures.
Job requirements
- Grade 12 or NQF Level 4 equivalent.
- National Diploma in Safety Management.
- Safety and Management Training Course (SAMTRAC).
- 3 Years’ experience in similar role.
- Advanced Microsoft Office including Advanced Excel.
- Prior experience using SharePoint desired.
- Knowledge of QHSE Management systems.
- Hazard Identification and Risk Assessment.
- Food Safety Management Systems experience required.
- Some experience within the Poultry Abattoir environment required.
- A willingness to work shift and overtime including on weekends and public holidays.
Duties and responsibilities
- Documentation (Control, file and administer).
- QHSSE monthly reports consolidation.
- Assist with the QHSSE induction training.
- Taking of minutes of meetings held related to QHSSE.
- Maintain all legal and QHSSE function documents.
- All complaints and compliments are logged, investigated and feedback given.
- Manage ALL TIMS/ QHSSE-related systems and software solution as required,
- Maintaining and updating health and safety records and documentation.
- Assisting with the development and implementation of QHSSE programs and policies.
- Control and monitor all reports: correspondence and filing for QHSSE function teams according to each task order and information received.
- Administer all files, documents and records for filling according to each member of the QHSSE function team responsibilities.
- Obtain and record all QHSE records.
- Ensure all documentation is in accordance with GFC requirements, standards and procedures.
- Plan safety walk inspections.
- Ensure scheduling of these visits.
- Ensure reports for sites or audits conducted.
- Ensure actions identified are taken, corrected, and prevented.
- Assist with implementation and maintenance of the QHSE Management System in accordance with SANS, ISO and other requirements identified by the company.
- Liaise with staff and outside organizations in areas concerned with QHSE under direct supervision of the SHEQ Manager.
- Assist with the development and delivery of QHSSE training programs.
- Assisting with the preparation of reports and presentations related to QHSSE initiatives.
- Ensuring compliance with applicable QHSSE regulations and standards.
- To assist with identification and the correction of any deficiencies in the Management System and to monitor their effectiveness in the light of changing technologies and changes in Legislation.

Skills and Abilities required
- Thorough knowledge of ISO 22000, ISO 14001 and OHSAS 18001.
- A working knowledge of ISO 18000 plus 45001 certification requirements.
- Incident Investigation: able to coordinate accidents and qualify incident investigations and Root Cause Analysis (RCA).
- Environmental and legal requirements with Occupational Health and Safety Act 85 of 1993 and National Environmental Management Act No. 107 of 1998.
- Good typing/ keyboard skills and proficiency in using MS Package.
- Able to converse clearly and concisely over the phone, and face-to-face.
- Able to plan and prioritize own workload efficiently.
- Ability to work on own initiative, whilst contributing to team goals.
- Reporting Writing skills.
- Quality-orientated.
- Must be a team player.
- Accuracy and attention to detail.
