Responsibilities

Absence and Resource Cover 

  • Acting as the point of contact for absence i.e. holiday requests, reporting sickness, medical appointments, emergencies etc. To have a flexible/sensitive common sense approach to staff and workload co-ordination. Ensuring appropriate short term allocation and office cover is in place and team holiday calendars are updated. Communicating with the W&SS Manager to agree return to work discussions, checking on wellbeing and appropriate escalation to W&SS Manager. 
  • Ensuring resource concerns and/or exceptional circumstances are flagged to the W&SS Manager. 
  • Understanding and working with the W&SS Manager on maternity leave/long term absence to ensure the agreed contacts and processes are followed to support the individual and the business. 
  • Making recommendations for allocation changes to the W&SS Manager. Being confident and able to have conversations with stakeholders and PA’s about any allocation changes which affect  them/the wider team.

Recruitment & New Joiners

  • Must be RIC trained to undertake interviews and testing where required. Working with the wider team to ensure success of PA induction following day one and taking responsibility to continue the training plan and continuous development. 

Meetings & Communication

  • Taking the lead to chair meetings and keeping up the momentum towards achieving the Business Unit and firm’s goals. To have the ability to communicate well within a team environment and to stakeholders, actively sharing information and knowledge, promoting and embracing change. Reporting key highlights/issues back to the W&SS Manager. 

Training & Development

  • Knowing the team’s goals and requirements and being a technical enabler at the forefront of finding efficiencies to deliver business goals. Sound knowledge of current systems demonstrating the ability to develop yourself and the team’s skills with future technology and systems changes as they materialise.

Objective/Goal Setting Support

  • Attend goal setting meetings with the PA’s and the W&SS Manager. Support the PA’s with being prepared for the meeting by offering thought through and connected suggestions. 

Performance Review Support 

Mid Year Review Meetings

  • Attend mid year review meetings with the PA’s and the W&SS Manager, providing follow up summaries to ensure all actions are shared and aspirations and agility are discussed and documented. 

End of Year Review Meetings

  • Supporting the W&SS Manager by being the point of contact for the team ensuring they are adequately prepared for their EOY conversation. Ensuring you have brought efficiency for smooth running review meetings.
  • To sit in on the team’s reviews with the W&SS Manager and being able to provide (where required) sole support reviews. Providing written summaries of the review meeting to support the W&SS Manager to be moderation ready. Further support to your W&SS Manager to agree involvement with stakeholder management where required.
