DUTIES AND RESPONSIBILITIES OF THE JOB:
- Acting as the point of contact among executives, employees, clients and other external partners.
- Managing information flow in a timely and accurate manner.
- Managing executives’ calendars and set up meetings.
- Assist Managing Director with daily meeting arrangements & weekly and monthly schedules, filling and screening of calls.
- Co-ordinate Travel arrangements for MD.
- Coordinate and communicate all external customer queries upon request.
- Action all relevant ad hoc requests from MD and Exco.
- Make travel and accommodation arrangements for all Agrinet staff.
- Check correctness of Executive and sales team’s claims, travel & card expenses recons and coordinate with the finance department.
- Act as an office manager by keeping up with office supply inventory.
- Format information for internal and external communication – memos, emails, presentations, reports.
- Organise and maintain the office filing system.
- Coordinate all internal and external functions.
- Coordinate supplier invoice & general ledge allocations with finance department on a weekly basis.
- Creating Purchase orders & GRV’s.
- Controlling & reporting on expenses against company budgets.
- Fulfil receptionist duties when reception employees are on lunch or leave.
- Compile the Exco Report and take minutes monthly.
- Compile board packs.
- Compile minutes for risk meeting.
- Fulfil receptionist and switchboard duties when Receptionist is on lunch breaks and leave.
Requirements
- National Senior Certificate and a Diploma in Office Management (Candidates with a PA diploma or certification will enjoy preference).
- At least 3-5 years relevant administrative experience and work experience as an Executive Assistant, Personal Assistant or similar role.
