Key Responsibilities
- Provide Front desk reception relief duties for the office which includes handling of all phone calls and manage internal & external customers timely and professionally.
- Receive and greet all visitors in a professional and warm manner
- Assist in General Office administration.
- Briefing of internal and external emailers;
- Where required, support agents with printing of brochures and drops, or make these available digitally;
- Resize and load photographs were necessary;
- Load mandates on Alchemy for agents
- List new properties on Alchemy
- (Database of buyers) Listing Buyers – Mon & Tuesday; agents give all buyers; input info (cellphone; E-mail) as well as updating the buyers needs when required to do so
- Ensuring that duplicate buyers are merged and POPI status updated when required to do so
- Maintaining buyer database post show day
- Preparing and sending buyer reports
- Capturing Data and Web enquiry listings
- Maintain on show listings
- Capture and manage referrals
- Manage the lead inbox in alchemy and assign leads accordingly
- Amend prices, photos and ad copies on Alchemy
- Upload Pictures from Google Drive & Photographers to Photo library
- Print images from Photo library for agents when needed.
- Assist in any ad-hoc duties, projects and activities as and when required.
- Send out price reduced, just listed, exclusive preview emailers.
- Send invites to buyers and sellers for show days.
Education & Experience
- Min 1-2 years relevant experience.
- Minimum Matric or post matric diploma
Knowledge & Skills Required
- Possess good professional image, excellent phone mannerism and enthusiasm in customer service.
- Pro-active and highly resourceful
- Proficient in MS Word, Excel and PowerPoint, Outlook applications is highly preferred.
