PRIMARY PURPOSE OF THIS JOB:
- Under direct supervision assist in for providing valuable support in carrying out the day-to-day HR activities of Capsicum Culinary Studio and IIE HSM.
KEY RESULT AREAS
- Posting job ads – Assist in ensuring that all job postings for perm and FTC appointments are checked for accuracy, conform to company requirements, and are posted timeously on all relevant platforms.
- Communication – Communicating with line managers on critical requirements of vacancies to be able to source right candidates for the vacant roles.
- Handling incoming applications and collating received documentation (CV, copies of qualifications etc) -Receive and collate all incoming applications, both physical and digital, and must ensure that candidate documentation is secured and is filed for completeness and ease of access in accordance with the provisions of the Protection of Personal Information Act (PoPIA).
- Shortlisting & screening – Shortlisting and screening applications in accordance with all job requirements
- Organizing interview appointments – Arrange appointments with hiring managers and candidates, and follow-up with reminders, as required. Use schedule assist to arrange interview appointments with hiring managers.
- Conduct Interviews – Attend and observe interviews to learn how to ask relevant interview questions in relation to the vacant role requirements.
- Minuting Interviews, meetings, and discussions – Minute all meetings, discussions, and even informal sessions, as well as collate the minutes and file them for later reference.
- Welcoming Interviewees – Arrange to meet the employee at reception to welcome them and show them to the interview venue.
- Maintaining ongoing contact with candidates – Maintain regular contact with all candidates, providing updates, requesting further information, and giving feedback.
- Organizing or conducting reference checks – Check references provided by candidates and others where required either telephonically or via email. File the responses correctly.
- Preparing regular reports on ongoing recruitment activities (Recruitment Tracker) – Regular progress reports and updates on the recruitment tracker must be constantly updated, ensuring accuracy, completeness, and timely delivery.
- Outbound or proactive searches – Assist with proactive searches, including sector searches, potential candidate identification, or social media profile searches.
- Assisting With General Office Admin – Routine office tasks such as File audits, and assisting with daily HR admin duties as and when required
- POPIA – Adheres to the provisions of the Protection of Personal Information Act (PoPIA) in all matters relating to the onboarding of new employees and the associated HR and payroll administration.
- Sign On – Prepare sign on pack and send to employee to complete all sign on documentation. Forward all signed documents to the HR Officer prior to starting date.
- MIE – Assist in ensuring all MIE checks are completed as per policy prior to employment.
QUALIFICATION REQUIREMENTS:
- Diploma / Degree (NQF level 7) in HR Management
- Certificate in HR
SKILLS REQUIREMENTS:
- Computer literacy in MS Office
- Good interpersonal skills
- Attention to detail
- Planning and organizing skills
- Good verbal and written communication skills
- Time management
EXPERIENCE REQUIREMENTS:
- A National Senior Certificate (matric) or higher, and a post-matric certification in HR management or a related field
- At least one year of administrative HR experience.
