EXPERIENCE: 

  • 8 years  Relevant experience in in Corporate event planning and management. Successfully organising and executing a variety of events, from small meetings to large-scale conferences. Negotiating and managing contracts with vendors and venues and budget management. Demonstrated ability in integrating cross-functional inputs into a unified strategy. Strong track record in project and change management.      (Essential/Minimum)    Management

Duties & Responsibilities

Compliance, Governance and Assurance    

  • Adhere to sound corporate governance principles and address discrepancies.
  • Ensuring compliance with Exxaro’s policies and regulations and maintaining ethical standards.
  • Ensure that event venues and suppliers meet all relevant laws and regulations requirements.
  • Ensure that insurance, legal, health, and safety obligations are followed during the events.
  • Stay abreast of high-profile event regulations/protocols applicable for high profile corporate events

Corporate Events

Corporate Events    

  • Responsible for planning, coordinating, and executing dynamic and engaging internal and external promotional, business and social events (e.g., conferences, seminars) seamlessly, to drive Exxaro’s strategy and culture.
  • Plan, coordinate, and execute dynamic and engaging corporate events to drive organisational strategy and culture, ensuring alignment with Exxaro’s brand identity, culture, values, and messaging.
  • Develop and implement comprehensive corporate event plans that align with the organisation’s strategic objectives and the overall Corporate Affairs strategy.
  • Building and nurturing relationships with suppliers and service providers for a strong base network and sourcing list on various projects or events
  • Collaborate with internal teams (e.g., Sustainable Impact, Strategy and Growth) and maintain open communication with senior management to ensure successful execution of events.
  • Manage event budgets, ensuring cost-effective execution and effective resource allocation.
  • Apply continuous improvement of events to ensure dynamic, immersive, and trendy event experiences, aligned to our Sustainable Growth and Impact Strategy.
  • Ensure integration and alignment within the Investor Relations and Liaison team, functional and operational areas and Business Units (BUs).
  • Align and collaborate planning within the corporate affairs team to publicise and promote events and key messaging.
  • Align with internal teams to understand their precise requirements for the event.
  • Generate innovative event concepts and themes that reinforce the brand’s positioning and resonate with the target audience.
  • Oversee the design and production of branded materials, signage, and décor elements to create a cohesive and impactful event experience in alignment to our leaderships vision.
  • Keep track of external strategic events that support the enhancement of our brand.
  • Identify and manage Corporate Events risks.

Functional Excellence    

  • Consistently improve and maintain Exxaro’s event management policies, standards, guidelines, procedures, processes etc. and entrench group wide.
  • Support leadership and internal teams to ensure clear, detailed, and standardised processes for events requirements to drive consistent events management excellence.
  • Maintaining a contact database of suppliers, contractors, and venues.
  • Conduct post-event evaluation to inform future events planning and improve standardised of processes.

Internal Support    

  • Provide guidance on event management.
  • Provide and communicate clear guidelines on the execution of events and provide support as needed.
  • Collaborate with internal teams (e.g., Sustainable Impact, SRG, Strategy and Growth) and maintain open communication with senior management.

People Management    

  • Staffing: Select/appoint/onboard Corporate Events staff.
  • Performance management: Clarify roles/responsibilities/expectations. Define individual performance standards, monitor/measure performance, reward/recognise high performance. Apply consistent performance/consequence management, take prompt action against non-performance.
  • Talent development:  Actively manage talent through regular assessment of employees’ strengths, development needs/progress. Provide ongoing mentoring, coaching and development feedback to employees. Manage Corporate Events talent pipeline and succession planning process. Promote culture of continuous learning.
  • Culture: Live Exxaro’s values and culture. Embody/translate/entrench the Company’s culture and values in Corporate Events. Address behaviours that undermine values. Foster effective teamwork and unity. Manage the Corporate Events function in which Diversity, Equity and Inclusion (DEI) and Environmental, Social and Governance (ESG) is appreciated, and employees are involved/ energised/ committed/ motivated/ recognised. Demonstrate/encourage collaboration including cross-functionally and create a culture of collaboration.
  • Change leadership: Provide direction, guidance and support to people having to adapt to change and keep them committed throughout. Actively support, advocate for, and embrace functional/organisational change and reinforce/role model the change.
  • Communication/engagement: Encourage open expression of ideas/opinions and foster dialogue. Seek out different opinions. Inform people of decisions/ changes/other relevant information. Proactively address conflicts and initiate difficult conversations.

Project Management    

  • Plan and project manage key/critical Corporate Events initiatives using event project management principles in support of the group corporate affairs strategy and which drive internal and external stakeholders’ understanding of the Company’s priorities/key initiatives.
  • Plan for and execute all Corporate Events activities related to such key projects including manage design/production of collateral by service providers in partnership with the Public Relations and Media team.
  • Engage and manage multiple stakeholders and service providers simultaneously.
  • Engage and ensure inclusivity of internal subject matter experts where relevant.
  • Oversee execution of project deliverables of the Corporate Events Specialist and Practitioner.
  • Engage and support BU communication teams in executing Corporate Events initiatives at the BUs.
  • Develop and manage team Corporate Events projects’ budget and oversee budget management by Specialist.

Safe and Healthy Work Environment    

  • Maintain and ensure a healthy environment, safe operations practices, ensuring compliance with all applicable Safety Health and Environmental (SHE) policies/procedures in line with set standards.
  • Encourage a culture that focuses on safety in all events.

Supplier Management    

  • Recommend, identify, and support the contracting process for service providers and manage provision of services including costs, delivery, quality, etc.
  • Address and mitigate performance issues to ensure seamless service delivery and adherence to the Group governance.
  • Ensure the prioritisation, inclusion, and empowerment of local communities in all event service delivery.
  • Support supply chain relationship management and negotiations.
