Primary Role

  • To support the executive committee (EXCO) to ensure the smooth functioning and sound administration of RST in accordance with the policy, organization and rules of the company.
  • The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried out timely and efficiently.

Key Responsibilities:

  •  Provide administrative support to the running of the EXCO.
  •  Work with the CEO to set meeting agendas and arrange meeting logistics for the EXCO.
  •  Taking accurate and accessible minutes of the EXCO and other meetings requested by the committee.
  •  Distributing agendas, minutes and supporting documents for the EXCO meetings.
  •  Maintain accurate records for the administration of RST, including meetings minutes, company details, insurance and financial information.
  •  Ensuring the safety and security of records maintained by the executive committee, complying with appropriate legal requirements.
  •  Preparing the appropriate administration for Board meetings by conducting research and preparing presentations or reports as assigned.
  •  Receive and screen calls and redirect them when appropriate.
  •  Handle and prioritize all outgoing and incoming correspondence.
  •  Handle confidential documents ensuring they remain secure.
  •  Professional writing capabilities, including emails, memos, letters and other industryrelated reports, documents and correspondence
  •  Maintain and administer Office supplies for the Admin Building

The successful candidate will have to meet the following minimum requirements:

Education

  •  Minimum of a NQF Level 5 (matric)
  •  Secretarial Certificate / Diploma essential

Experience

  •  Minimum of 5 years relevant experience.
  •  Have extensive knowledge and experience with great time-keeping and multitasking skills.
  •  Proven experience as an executive secretary or similar administrative role.
  •  Good IT skills – Proficient in MS Office, Word, Excel, Powerpoint and other back-office software.
  •  In-Depth knowledge of office management.
  •  Familiarity with basic research methods and reporting techniques.
  •  Excellent organizational and time-management skills.
  •  Outstanding communication skills.
  •  Integrity and confidentiality.
  •  Ability to think creatively and solve problems.
  •  Ability to work as part of a team.
  •  Ability to summarize information for different audiences.
  •  Relevant qualification in business administration or related field.
