Primary Role
- To support the executive committee (EXCO) to ensure the smooth functioning and sound administration of RST in accordance with the policy, organization and rules of the company.
- The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried out timely and efficiently.
Key Responsibilities:
- Provide administrative support to the running of the EXCO.
- Work with the CEO to set meeting agendas and arrange meeting logistics for the EXCO.
- Taking accurate and accessible minutes of the EXCO and other meetings requested by the committee.
- Distributing agendas, minutes and supporting documents for the EXCO meetings.
- Maintain accurate records for the administration of RST, including meetings minutes, company details, insurance and financial information.
- Ensuring the safety and security of records maintained by the executive committee, complying with appropriate legal requirements.
- Preparing the appropriate administration for Board meetings by conducting research and preparing presentations or reports as assigned.
- Receive and screen calls and redirect them when appropriate.
- Handle and prioritize all outgoing and incoming correspondence.
- Handle confidential documents ensuring they remain secure.
- Professional writing capabilities, including emails, memos, letters and other industryrelated reports, documents and correspondence
- Maintain and administer Office supplies for the Admin Building
The successful candidate will have to meet the following minimum requirements:
Education
- Minimum of a NQF Level 5 (matric)
- Secretarial Certificate / Diploma essential
Experience
- Minimum of 5 years relevant experience.
- Have extensive knowledge and experience with great time-keeping and multitasking skills.
- Proven experience as an executive secretary or similar administrative role.
- Good IT skills – Proficient in MS Office, Word, Excel, Powerpoint and other back-office software.
- In-Depth knowledge of office management.
- Familiarity with basic research methods and reporting techniques.
- Excellent organizational and time-management skills.
- Outstanding communication skills.
- Integrity and confidentiality.
- Ability to think creatively and solve problems.
- Ability to work as part of a team.
- Ability to summarize information for different audiences.
- Relevant qualification in business administration or related field.
